1) General

  • This Shipping Policy applies exclusively to B2B transactions on velazo-b2b.com.

  • All orders ship from our warehouse in Poland.

  • Unless otherwise agreed in writing, our default Incoterm is FCA – Seller’s Warehouse (Poland). Risk passes to the Buyer when goods are handed over to the carrier.

2) Order Processing & Dispatch

  • Processing time: 1–2 business days after payment confirmation (longer for large/oversized or custom orders).

  • Dispatch deadline: within 7 calendar days after payment confirmation.

  • If a delay is expected (e.g., bulk pallets, peak season), we will notify you in advance.

3) Carriers & Modes

  • Carriers: DHL, FedEx, UPS, DPD, and local freight partners.

  • Modes: standard parcel/express, palletized freight, and oversized/heavy freight.

4) Delivery Areas

  • EU only.

  • Excluded zones: remote areas and islands where carriers do not offer standard service or where costs/timelines are disproportionate. We will inform you if your address falls into an excluded zone or requires a surcharge.

5) Transit Times (Estimated)

  • Poland: 2–4 business days

  • European Union (other member states): 5–7 business days

Actual transit times may vary due to carrier capacity, route constraints, customs/inspections (where applicable), or peak-season volumes.

6) Shipping Costs

  • Quoted per order (quotation/proforma).

  • Paid by the Buyer unless otherwise agreed in writing.

  • Surcharges may apply for remote delivery, liftgate, appointment delivery, re-delivery, waiting time, or special handling.

7) Incoterms & Risk Transfer

  • Default: FCA – Seller’s Warehouse (Poland). Risk transfers to Buyer upon handover to the carrier.

  • Optional upon written agreement:

    • EXW – Seller’s Warehouse (Poland): Buyer collects; risk transfers when goods are made available.

    • DAP – Buyer’s Address (EU): we arrange carriage to your site; risk transfers at delivery per DAP.

  • If DAP is agreed, any local access limitations (e.g., no forklift, narrow streets) must be communicated in advance. Extra on-site services may incur charges.

8) Buyer’s Own Carrier / Account

  • We accept Buyer-designated carriers or Buyer’s carrier account upon request.

  • When the Buyer nominates the carrier, risk still transfers at handover to that carrier (consistent with FCA).

9) Tracking & Status

  • A tracking number (or freight reference) will be provided after dispatch.

  • Shipment status can be checked on the carrier’s website or by contacting us at [email protected].

10) Delivery & Inspection on Receipt

  • The Buyer must inspect packaging and contents at delivery and note any visible damage or shortage on the carrier’s delivery document (POD).

  • Claims for damage, loss, or shortage must be raised at delivery or within 7 calendar days of delivery and include photos, packaging labels, and any carrier notations.

  • Failure to note damage/shortage may affect the ability to claim against the carrier/insurer.

11) Damaged or Lost Shipments

  • Responsibility for damage/loss depends on the Incoterm used:

    • Under FCA/EXW, Buyer files the claim with their carrier/insurer after risk transfer.

    • Under DAP, we coordinate with the carrier for claims.

  • Compensation method (refund, replacement, credit) will be mutually agreed after claim review and confirmation by the carrier/insurer.

12) Force Majeure & Delays

  • We are not liable for delays caused by events beyond reasonable control, including but not limited to weather, strikes, carrier disruptions, accidents, regulatory checks, system outages, or other force majeure events.

13) EU Pallet & Packaging Requirements

To ensure safe and compliant B2B transport within the EU, we apply the following standards unless otherwise agreed:

  • Pallet types:

    • EUR/EPAL 1200×800 mm (primary), or ISO 1200×1000 mm where suitable.

    • Sound condition, with no broken boards or protruding nails.

    • ISPM 15 treated timber for any cross-border wooden packaging/pallets where required.

  • Load & stacking:

    • Pallet loads must be stable, stackable, and not exceed the pallet footprint.

    • Max pallet weight subject to carrier limits; typically ≤ 700–1,000 kg per EPAL unless otherwise specified.

    • Uniform height per consignment where possible to optimize handling (often ≤ 180–200 cm total height, including pallet).

  • Stabilization:

    • Use corner protectors/edge guards, strapping, and stretch wrap to secure goods; apply top sheet against dust/moisture if needed.

    • Fragile items (e.g., sinks/faucets/accessories) are double-wall boxed, with internal cushioning and protection on edges and corners.

  • Labeling:

    • Each pallet/carton labeled with shipper/consignee, order/PO number, carton/pallet count (e.g., 1/10), and handling marks (FRAGILE/This Side Up where applicable).

    • Attach packing list externally (document pouch) and include a copy inside the lead carton/pallet where feasible.

  • Access & equipment:

    • Buyer must ensure suitable access for trucks and unloading equipment (forklift or pallet jack). If you require tail-lift or appointment delivery, inform us in advance.

14) Special Instructions

  • If your site needs time-slot delivery, liftgate, inside delivery, or non-standard access, please notify us before dispatch so the carrier can arrange it (charges may apply).

  • For oversized or custom orders, additional lead time and special packing/crating may be required; we will confirm case by case.
